Guidelines for VA Podcast Network Submissions

  1. All podcasts must be hosted on an approved hosting platform that is compliant with the commonly utilized podcast aggregators (e.g. iTunes, Spotify, Google Podcasts, etc.).
  2. Bi-monthly publication is mandatory, with exceptions only being granted for serial podcasts.
  3. Podcast production must be executed utilizing professional grade equipment.
  4. The podcast must align with VA’s external messaging objectives, and must possess a well-defined format, plan, and target audience.
  5. All podcast notes must be disseminated via VA News.
  6. Adherence to the Society of Professional Journalists Code of Ethics is mandatory.
  7. Compliance with Section 508 regulations, including the provision of a transcript, must be satisfied.
  8. Metadata must accurately reflect the podcast content.
  9. No explicit content is permissible, and the podcast must meet criteria for a General Audience (G rating).
  10. Impersonation of another person or entity, or use of another creator’s content without permission, is strictly prohibited.
  11. No manipulation or dissemination of misleading information is allowed.
  12. Intellectual property rights must not be violated.
  13. No content that is defamatory, discriminatory, or intended to cause harm is permitted.
  14. Familiarization with cultural sensitivities in the region of publication is the responsibility of the podcast producer.
  15. Must include the submission of either a trailer or pilot episode.
  16. Prior coordination with a Public Affairs Officer must occur before initiation of production.

It is imperative that you familiarize yourself with the intake process prior to submitting your podcast for consideration to be included in the VA Podcast Network.

Podcast Submission Process for DME

Step 1: Content Preparation: Prior to submitting your podcast to DME, it is imperative to thoroughly evaluate the content and verify its compliance with our mission, values, and guidelines. The following criteria should be considered when preparing your content:

Relevance: Ensure the topic is of interest and significance to our audience.

Quality: Ensure the content is informative, engaging, and provides valuable information.

Clarity: Keep the content concise and focused, avoiding unnecessary details or tangents.

Audio Quality: Ensure the audio quality is professional, free from background noise or interference.

Step 2: Approval from Facility PAO: Before submitting your podcast, it is necessary to secure permission from your facility PAO. This includes ensuring that you have the necessary resources, such as a media team or access to podcast equipment.

Step 3: VISN PAO Consultation: In order to meet all requirements and expectations for podcast development, it is necessary to seek guidance from your local VISN PAO. They will provide a comprehensive overview of the steps involved in podcast development, as well as any necessary expectations and requirements.

Step 4: Coordination with VHA Digital and VBA Digital: To ensure your podcast aligns with current messaging and avoid conflicting interests, it is important to coordinate with VHA Digital and VBA Digital. They will advise on any existing podcasts and help determine if your podcast is a good fit for our network.

Step 5: Program Office Alignment: In the event that your podcast is related to a specific program office, it is crucial to align with their message and secure the necessary support. This will help ensure that your podcast is relevant, informative, and provides valuable information to our audience.

Step 6: Obtain Approvals: To guarantee that your podcast meets all requirements and expectations, it is necessary to secure approvals from the appropriate levels, starting from your office and proceeding up to the administration staff.

Step 7: Submission to DME: Upon obtaining all necessary approvals and successfully preparing your content, you may reach out to DME for submission to our national podcast network.
